Description: Key Responsibilities
Front Desk & Patient Experience Management:
Serve as the first point of contact for the practice, greeting all patients with a warm and welcoming demeanor.
Manage a multi-line phone system, answering patient inquiries, scheduling appointments, and routing calls appropriately.
Oversee the patient schedule to ensure a productive and efficient flow, including confirming appointments and filling last-minute openings.
Manage all new patient registration, ensuring accurate data entry of demographic and insurance information.
Maintain a clean, organized, and welcoming reception area that reflects the high standard of care our office provides.
Handle patient concerns and questions with empathy and professionalism, seeking resolutions to ensure patient satisfaction.
Treatment & Financial Coordination:
Present treatment plans to patients clearly and professionally after they have been diagnosed by the dentist.
Explain complex dental procedures, treatment sequences, and the benefits of recommended care in easy-to-understand terms.
Calculate and present patient co-payments and financial responsibility. Discuss insurance benefits and limitations, and provide accurate estimates for treatment.
Secure financial arrangements with patients by explaining and offering financing options (e.g., CareCredit, in-house payment plans).
Schedule patients for treatment and coordinate complex cases that require multiple appointments or specialist referrals.
Systematically follow up with patients who have unscheduled treatment, encouraging them to move forward with their dental care.
Track case acceptance rates and other key performance indicators, reporting to the office manager or dentist.
Administrative & Financial Duties:
Verify patient insurance eligibility and benefits prior to their appointments.
Post insurance and patient payments accurately into the dental practice management software (e.g., Dentrix, Eaglesoft).
Collect payments, co-pays, and deductibles at the time of service.
Manage end-of-day financial procedures, including reconciling payments and running reports.
Maintain patient records in compliance with HIPAA regulations.
Coordinate with dental insurance companies to resolve claim issues as needed.
